Application Tutorials – Hour session scheduled at high school for HAP personnel to assist students with completing the application. 
 
AR hold report – Accounts Receivable holds are placed on student accounts over $200, these holds prevent enrollment.  Holds are also placed on accounts with a balance above $0 but less than $200, these holds do not prevent enrollment.  Both holds prevent grades/transcripts from being released. 
 
CEP agreement signatures – Concurrent Enrollment Partnership agreements are signed by the counselor and principal.  The agreements will come from HAP office, please help to obtain the necessary signatures and return to HAP office. 
 
Check enrollment numbers – Classes that Butler faculty are sent in to teach have a minimum enrollment of 10.  Maximum for everything but Public Speaking is 25, Public Speaking limit is 21. 
 
Connect with Faculty – HS counselor contact information will be shared with faculty that will be teaching in the building.  Counselor will share room details (location, how to obtain access, etc), building check-in procedures, internet access procedures and calendar with faculty. 
 
Course Schedule – Provide HAP office with details (class, dates, dates, times) for courses to be offered in building. 
 
Enrollment Date – Time scheduled at high school for Butler personnel to meet with students to finalize enrollment process. 
 
Finalize enrollment – Confirm with rosters/spreadsheet that all students have completed the enrollment process. 
 
Information Session – Session scheduled usually during evening in person or via zoom where students and parents are invited to hear Butler enrollment presentation and ask questions about enrollment process and opportunities. 
 
Junior Day - Current juniors attend event in El Dorado to gather more information about Butler opportunities while in high school and after high school. 
 
Planning future semester enrollment – Setting dates for information sessions, application tutorials, testing sessions and enrollment dates. 
 
Roster checks – Counselor sends HAP office a copy of rosters for each class section.  HAP compares HS roster with Butler roster and alerts counselor of differences. 
 
Senior Day – Current seniors attend event at a Butler location to gather more information about attending Butler after high school. 
 
Send rosters/enrollment – Send rosters or enrollment requests to HAP office.  The information will be outlined on the enrollment spreadsheet and additional enrollment related information will be added for each student. 
 
Send transcripts (mid-year/year-end) – Transcripts are collected by the HAP office when rosters/enrollment requests are sent.  At times, students may need their transcript sent mid-year or year-end in order to meet GPA requirements. 
 
Testing Sessions – Time scheduled at high school for HAP personnel to conduct placement tests needed for students.
