Instructions for submitting forms

Submit your required documents early

It can take 3‐4 weeks before a financial aid offer will be made. All posted documents received in our office by 3:00 p.m. will post the same day as received. Otherwise, the posting date will be the following business day. Butler processes file completion in date order according to the last document ‘receive date’ that was accurately completed.

To expedite paperwork:

Include the student's name and Butler student ID number on any document submitted to our office. You may fill out the Adobe PDF forms on your computer, print, sign, scan, and securely upload your documents. Or, you may mail, fax, or hand deliver your documents to the Financial Aid Office, unless otherwise noted. Emailing documents does not protect your personal identifiable information. Please use Butler's secure method or another secure method to upload documents.

Do Not Fax Transcripts: Required transcripts must be official and mailed directly from your school to the Registrar's Office or from your State Department of Education for GEDs.

  • Mail - send to Butler Registrar - 901 South Haverhill Road - El Dorado, KS 67042
  • Electronically -  utilize a secure website like Parchment or National Student Clearinghouse.
  • Hand-carried - Butler Community College will accept hand-carried transcripts as official if they remain sealed and unopened in the envelope in which the sending institution placed them.
  • Faxed - transcripts are not official.

Graduation from an Out-of-Country High School Transcript
You will need to have your out-of-country high school transcript evaluated by one of Butler's acceptable evaluation agencies.

Do Not Fax the Statement of Educational Purposes.

Do Not Fax the FAFSA Signature Page. Federal regulations require a WET signature to sign a paper FAFSA or a paper signature page, or the student/parent can electronically sign the FAFSA using their FSA ID. Parents and student will need a separate FSA ID to sign the FAFSA electronically.
